Baksons Pty Ltd trading as Bakos Brothers (registration 1970/007822/07) is responsible for the personal information collected through our website and private-client enquiry service. Information we collect
When you submit a brief, we collect your name, email address, optional telephone number, furniture and interior-design preferences, room requirements, inspiration links and any images, plans or documents you choose to upload. We also record your enquiry date, consent choices and subsequent correspondence and sales activity.
Please upload only material you are entitled to share. Avoid including identity documents, financial account details, access codes or unnecessary personal information about other people.
Our website also processes technical information needed to operate and protect the service. Depending on your cookie choices, measurement may include device/browser information, pages visited, traffic sources, campaign identifiers, interactions with the brief and completed-enquiry events.
How we use information
We use your information to understand your brief, allocate an appropriate consultant, respond to you, prepare proposals and quotations, maintain enquiry history and manage our client relationship. Required fields are identified in the brief; without them we may be unable to respond. Optional information helps us understand your requirements.
We use technical information to protect and improve the website. Optional analytics and advertising measurement help us understand which pages and campaigns lead to enquiries. We keep brief answers, contact details and uploaded files out of analytics event payloads.
Submitting an enquiry does not subscribe you to a newsletter. Any optional news and collections signup is a separate choice; you may withdraw that choice at any time. Enquiry acknowledgements and the team's responses relate to your request.
Who can receive information
Enquiries are managed in HubSpot by authorised Bakos staff, with access based on their responsibilities. Where an appointed interior-design partner assists with your project, we share only the information needed for that work.
We use a small number of service providers: HubSpot for enquiry and client records, Cloudflare to deliver and protect this website, and Microsoft 365 for email. We may also disclose information where required by law or necessary to establish or defend legal rights.
Existing Bakos website enquiries collected through Fillout will be transferred to HubSpot for continued enquiry management. Importing an enquiry does not create marketing permission.
Storage, security and international processing
We apply appropriate access restrictions and security measures to enquiry records and files. The providers named above may process information outside South Africa — enquiry records are held in HubSpot's European region. We use applicable safeguards for those transfers. No online system can guarantee absolute security.
How long we keep information
We maintain an ongoing enquiry and client-history record rather than automatically deleting it after a fixed period. We periodically review whether identifiable information is still needed for our client relationship, legitimate business records or legal obligations, and delete or de-identify information when continued retention is no longer justified. This does not limit your applicable rights to request correction or deletion.
Uploaded inspiration files and plans are scheduled for deletion 12 months after their original upload date, unless a documented legal obligation requires longer retention. This period also applies to migrated attachments where the original date is available. File deletion does not delete the enquiry record. Backup expiry and any exceptional retention will be documented in our retention procedure.
Cookies and measurement choices
Essential technologies support the website's operation and security, including the security check shown on our enquiry form. No optional analytics or advertising measurement is currently enabled.
If optional measurement is introduced, you will be able to accept, reject or change those choices through the website's cookie controls while continuing to use the enquiry service. This notice will be updated to name each enabled provider, the information it collects, its purpose and its retention period before those technologies run.
Your rights and contact
You may request access to your personal information, ask for corrections or deletion where applicable, object to applicable processing, or withdraw consent. We may need to verify your identity before fulfilling a request. Withdrawal does not undo earlier lawful processing, and some information may need to be retained for legal reasons.
